The purpose of the Executive Assistant (EA) role is to provide operational & strategic leverage to the CPO, enabling them to work more effectively and focus on high impact priorities required to grow the company. The EA acts as a trusted advisor who works directly with the CPO and maintains strong relationships with team members across the organisation to progress outcomes and maintain momentum. The EA will act as a gatekeeper, manage communication, and oversee scheduling, project management, and coordination of key initiatives. The role requires discretion, professionalism, and a proactive approach to managing tasks and responsibilities, while ensuring alignment with the People and Culture strategy. What You Will Do

Strategic communications advisory and execution

Cascade messaging and visibility over CPO activities to the broader team as appropriate. Provide support for the production of monthly operations and development reporting, Board reports and other materials as required Prepare key messages for various forums and internal events. Coordinate team events. Support in project management of team deliverables to ensure on time delivery.

General support

Ensure CPO is briefed prior to attending meetings (includes working with relevant executives ensure pre-read materials are prepared with key context, messaging and desired outcomes Help coordinate and draft the CPO Board reports. Support with meeting organization eg. food and coffee etc. Support in ensuring the office environment is clean and well-maintained

Travel/ Event Management

Arrange detailed travel plans, itineraries, and agendas. Work with People and Culture specialists for the required visas. Support with coordination of internal and external events, mainly the Global Leadership Forum, as well as regional roadshows – working in conjunction with an event coordinator for organisational execution. Ensure CPO is appropriately briefed for all external events including objectives, background on key attendees and messaging where presentation is required.

Secretarial Support

Manage and maintain the CPO's schedule, including scheduling meetings, appointments, and travel arrangements. Prepare and edit correspondence, communications, presentations, and other documents. Maintain minutes and documents. Process and reconcile expense reports in a timely manner.

CPO prioritisation/ Alignment

Assist the CPO identify the areas where he must direct focus to ensure effectiveness and impact. Support with meeting preparation and follow-up - reviewing upcoming meetings for the week to ensure the CPO has all the information needed to be as productive as possible.

Team Management

Oversee the successful delivery of People and Culture team deliverables including bookings and planning of internal and external meetings, including capturing action items. Assist with follow up of key ongoing works and projects for team milestones and success, providing updates and alerts to ensure timely completion.

Who You Are

A relevant experience as an Executive Assistant or in a similar role supporting C-level executives, preferably within HR or People & Culture functions. Experience managing projects and handling sensitive matters with confidentiality. A diploma or bachelor's degree in Business Administration, Human Resources, or a related field is preferred. Excellent Organizational Skills Time Management Communication Skills (written and verbal) High degree of Discretion and Confidentiality Problem-Solving Adaptability Technical Proficiency (Microsoft suite, etc.) Project Management Research Skills Interpersonal Skills Multitasking Proactive Attitude Loves playing as part of a team and connecting with people.
