About the opportunity

As Executive Assistant to the Executive General Manager - Technology, you will be responsible for the effective and efficient day-to-day management and organisation of the EGM's activities and business.
This includes acting as the main point of contact for the EGM, diary management, organising and supporting high-level senior meetings, and report writing.
You will have a proactive approach and possess exceptional organisational, prioritisation, and communication skills with the ability to use your initiative to prioritise and manage complex tasks and diary arrangements.
You will assist the wider Executive team supporting the EGM, including senior managers and a range of support staff.
You will be required to maintain an understanding of the EGM's strategic priorities and apply this awareness to support the EGM.
This assignment is for a duration of 6 months.
Responsibilities:

Providing a high level of executive administrative support to the EGM, including the preparation of high-quality documents for board and committee meetings.
Being an effective gatekeeper for the EGM to ensure the schedule and time is maximized.
Timely and accurate expense reconciliation.
Effective management of the EGM's calendar regarding scheduled meetings and appointments (internal and external).
Full end-to-end travel coordination and management for the EGM (including expense reporting and management).
Acting as a central point of contact between the EGM and internal/external stakeholders via phone, video, and email.
Undertaking ad-hoc tasks and projects at the request of the EGM.
Leading the Technology Social Committee and assisting with event planning.
Managing and prioritising work appropriately to ensure that matters for attention are dealt with professionally and timely.
Effectively handling activities and communications with a high degree of professionalism, accuracy, and confidentiality.
End-to-end management of catering requirements for internal meetings and workshops.
Organising restaurant reservations for external client meetings.

About you

Highly developed organisational and planning skills with an acute attention to detail.
A pro-active, trusted partner with high resilience and the ability to anticipate executive needs and changing requirements.
Exceptional verbal and written communication skills, with the skill to effectively engage with stakeholders across all levels, including the Executive Leadership team, Board, and CEO.
A high level of integrity with the ability to maintain confidentiality and exercise discretion, tact, and judgement on behalf of the EGM.
Strong PowerPoint skills required.
