As the Executive Assistant to the newly appointed Director of Governance, you will be privy to the most sensitive of business-related and personal information. Whether it be navigating a colourful political landscape, stakeholder relationships, or many other situations requiring the maintenance of confidentiality, the Director of Governance at the City of Melbourne will often rely on your absolute discretion. In your role as their right-hand and representative, you will be continuously aware of correspondence, documentation, and conversations that are vital to keep on a need-to-know basis. Working at this senior level and closely with the Director, I think it would be fair to say this relationship will be underpinned by a level of mutual trust, respect and integrity. These values closely align with our own ICARE organisational values which we demonstrate daily and take great pride in. The Executive Assistant to the Director, Governance is also responsible for working with fellow team members to ensure operational requirements are met, correct procedures are followed and the service is developed to ensure continuous improvement within a service excellence environment. To truly become invaluable to the Director, over time you will be able to anticipate their needs at any given moment. Through diligently paying attention to their habits, preferences, routines and typical responses, you will learn how to respond to each scenario without being asked. Having the ability to anticipate the needs of the Director smooths the communication between you both and expedites responses to most business situations.  What you will bring… Ability to demonstrate and display City of Melbourne Values – accountability, integrity, courage, respect for self and others, and striving for excellence.Substantial experience in an administrative support delivery function with the ability to anticipate support needs and multi-task within a fast-paced, high volume and multi-faceted business environment.High level communication skills with the ability to communicate and liaise confidently all levels of the business.Sound experience to review and prepare documents to a high quality level which are fit for business purpose.Highly developed customer service skills and demonstrated ability to be professional, diplomatic, assertive, discrete, courteous and maintain confidentiality.A strong pro-active approach applying initiative to independently manage workflow and apply sound judgment in making decisions with limited direction in a timely manner due to the nature of the business.Sound technology skills across the full suite of programs, the ability to learn and adapt to new technology systems and actively educate and support other users.To view the physical requirements of this position, please see below under Position Information.

2. Proven experience working with sensitive issues, confidential matters or in a political environment

4. Ability to compile complex correspondence and reports while ensuring accuracy and compliance
5. Experience in establishing and maintaining strong working relationship with key internal and external stakeholders, including the ability to communicate diplomatically with a diverse range of stakeholders
6. Implementing office procedures and systems, including identifying and driving process improvements
