Job Details: Full time, 76 hours per fortnight located in Perth. Salary: $53.84 p/hr + super Working Monday to Friday. Other Benefits: Discounts with a major health insurance provider. About HOPE: HOPE has been a provider of community services in Western Australia for over 120 years, providing much-needed support for people in the areas of alcohol and other drugs, mental health, justice, and family and domestic violence.
About the Opportunity: The Executive Assistant (EA) role is to provide a supportive partnership to the Chief Services Officer (CSO). The EA will learn the priorities of the CSO and identify helpful tasks to undertake. This will involve routine tasks such as keeping accounts and arranging travel, as well as creative tasks like drafting reports and presentation materials. The EA will interact with a wide variety of internal and external stakeholders, representing the CSO and the Executive Member(s)' office with courtesy and respect. The EA is expected to take significant initiative in identifying and addressing the needs of the CSO and, if required, the Executive Member(s).
Requirements of the Role: Coordinate and arrange Division management team meetings, including preparing agendas, taking minutes, and providing relevant papers. Facilitate communication between the Executive Member(s) and the management team. Maintain accurate records of management team decisions, resolutions, and actions. Arrange venues, technology needs, and catering for management team meetings. Screen phone calls and email correspondence, ensuring relevant communications reach the CSO in a timely manner. Prepare draft responses for the CSO or answer emails directly as the EA to the Executive Member(s). Research and source information to assist the CSO in responding to emails. Manage the CSO's diary based on the Executive Member(s)' priorities. Ensure the CSO has necessary notes and support material for each engagement. About You: Certificate 3 in business or equivalent qualification or experience. Experience in a similar role or 5 years' experience in an EA role to executives. Advanced user of Microsoft Office Suite. Advanced organisational and time management skills. Excellent interpersonal skills and telephone manner. Ability to work independently and set priorities. Ability to manage a large and varied workload while maintaining motivation under pressure. Desirable Criteria: Experience in the human services sector. Experience providing EA support to Boards. Appointment Conditions: Appointments will be subject to Australian residency/visa, satisfactory National Police check (within 3 months), Working With Children card, Current C or A class driver's license, First Aid Certificate, and suitable work referees.
