We need someone to join the team …As the Executive Assistant to the CEO and Office Manager, you will be at the heart of our operations, ensuring seamless coordination and support across all levels of the organisation. You will provide executive level administrative support and be the primary point of contact for internal and external stakeholders, ensuring the CEO's time is optimised for strategic priorities and critical business matters.
Additionally, you will be responsible for overseeing the day-to-day operations of our Collingwood office, ensuring smooth functioning and efficient workflow. As a key member of the team, you will thrive in a fast-paced environment, feel energised using existing and new technologies to increase the impact of your work.
Day to day, the work will change in response to the priorities. A high level of flexibility, discretion and confidentiality is required to be successful in this role. As a relationship builder, you will quickly establish influential connections across the business and play a significant role in external client and community engagements.
Key AccountabilitiesExecutive SupportProvide 1:1 executive support to the CEOCalendar management – schedule and coordinate logistics for meetings and eventsEmail management – ensure timely response to emails in line with CEO expectations, including draft email responsesPlan and coordinate functions and meetings on behalf of the company and Executive team including conferences, offsites and town halls.Travel management – book flights, hotels and transfer management in accordance with company policyExpense management - prepare and review expense claims in accordance with company policyPrepare documents, presentations and other forms of correspondence for Executive, Board and Committee meetingsPrepare research, pre-reading, and background information for meetingsEnsure efficient ways of working to support key deliverables and prioritiesWork with CEO on projects as neededOffice ManagementOversee daily office operations, including managing facilities, supplies, and vendor relationships to ensure a productive and comfortable work environment that encourages creativity and productivityCoordination of repair and maintenance of the office amenitiesManage the efficient daily administration of the business, including mail management, supplies and addressing any Work Health & Safety hazardsWork with the .id Support team to identify, initiate and deliver key projectsSkills & ExperienceMinimum of 5 years experience in providing comprehensive and tailored administrative support to C-Suite executivesStrong time-management and organisational skills with the ability to juggle multiple tasks and balance competing prioritiesA proactive approach to problem-solving, with the ability to adapt to changing priorities and unexpected challengesOutstanding interpersonal and communication skills (both written and verbal)Exceptional Microsoft Outlook, Word, Excel and PowerPoint skillsExceptional skills with digital collaboration tools, including Office 365, Teams, MiroProven collaboration skills with the ability to establish and maintain strong working relationships with stakeholdersProven experience leading cross-cutting projects, such as office upgrades, office movesKey AttributesAbility to remain composed under pressure and be able to prioritise based on business impactA high level of personal integrity and reliabilityIndependent and self-drivenHigh degree of emotional intelligenceMaintains confidential informationSuperior attention to detailThis is a full time role based in Collingwood, Melbourne.
