The Executive Assistant role provides efficient and effective coordination to the General Manager, Enterprise HR Portfolios (EHP) supporting the portfolios of Workforce Optimisation, Inclusion & Diversity, industrial Relations, Indigenous, HR Transformation and HR Governance, Risk & Compliance. Activities include forward planning, event management, travel, administration, coordination, systems and relationship management across internal and external business partners.

This role will interact with a wide range of individuals, from senior executives, to employees across different divisions and external suppliers.

Major Responsibilities: Email and diary management for the General Manager, including coordination of all meetings/conferences and preparation of agendas, documents and presentation material.Proactively manage and prioritise diary / calendar, including proactive management of HR calendar events including various Steering Committees, Remuneration Review calendar, ET and Board meetings, Talent Reviews, GM Speaking events.Monitor inbox to ensure urgent matters are flagged, emails with set deadlines prioritised.Collation of documents/packs to support meetings on a daily basis.Assist with event planning and management across the team as required.Coordination of leadership team key meetings, including the preparation of agendas and presentation material.Prompt handling of internal and external stakeholder requests.Act as the primary point of contact for all other administrative roles regarding core systems, processes and reporting enquiries.Effectively handle, escalate and follow up internal customer compliments, issues and complaints.Report any relevant issues/concerns to the GM of HR and Business Manager where appropriate.Maintain relevant databases, files, spreadsheets.General administration: Procurement, pro-master expense approval, Travel requests, IT requests, Stationary orders, People HQ expert user, Maintaining team distribution lists.Guide and advise team members on any administrative responsibilities where necessary and be a support and liaison for new starters.Work collaboratively with the GM Business Manager to ensure efficient management of the GM office. What do I need?
