ABOUT THE ROLE: You'll play a key role in assisting the company Executive Assistant to provide efficient, high-level support and coordination to the Managing Directors, General Manager and Management team. No two days will be the same, where you will manage schedules and attend to a variety of administrative tasks to ensure prompt delivery and operational success as we understand that service provided is a team effort, not an individual one. This position is ideal for someone who can juggle multiple tasks and priorities and loves all things organisation. Most importantly, you will value collaboration and building strong relationships with key stakeholders.
Your day's responsibilities will include the following range of tasks:
Assist with coordinating and scheduling the Management team's internal department meetings and minuting when requiredPrepare, edit and distribute relevant meeting minutes, reports, presentations and documentation Book functions and arrange staff travel and accommodationSupport with organising company events and functionsProvide support in the preparation of tender and expressions of interest submissions Process purchase orders and petty cash reimbursements Order and oversee office consumables, manage office/workshop cleaners and staff uniformsMaintaining a high level of organisation and efficiency in the day-to-day operationsAdditional ad-hoc administrative and project related tasks as required ABOUT YOU: This role would suit an experienced Administration Assistant/Officer with a minimum of 1-5 years' experience and the below skills/attributes:
Strong organisational skills with excellent attention to detailAbility to assess tasks for their priority and manage deadlines effectivelyExcellent communication skills, written and verbal, with the ability to build rapport and positive working relationshipsSkilled at juggling multiple tasks at any one timeStrong working knowledge of Microsoft Office suite Handles confidential and sensitive information with discretion Desire to learn new skills and operational platformsPrevious experience supporting multiple busy managers in a similar role Previous experience within the building and construction industry or similar (advantageous)As our people are sometimes required to attend government, health and education facilities and construction sites, it is a condition of employment for this role, that the ability to pass a pre-employment medical and background police check is adhered to.
