About the Company
Join a leading multinational health-care company on a 3 month contract with a global presence, operating across two dynamic divisions: Pharmaceuticals and Diagnostics. Renowned for innovation and excellence, this organisation is dedicated to improving lives through groundbreaking solutions in health-care.
Your Role & Responsibilities
As the Executive Assistant, you will play a vital role in ensuring the smooth operation of the leadership team. You'll be the go-to person for diary management, event coordination, and internal communications, working closely with senior leaders to deliver exceptional support.
Diary Management: Seamlessly manage busy calendars across multiple time zones (primarily Australia), coordinating appointments and meetings with precision.
Event Coordination: Lead the planning and execution of monthly town halls and regular leadership meetings, including preparing agendas, driving content creation, and ensuring follow-ups are completed.
Travel & Expenses: Arrange travel bookings through a portal and manage expense reports via SAP Concur, adhering to a 30-day submission deadline.
Meeting Support: Facilitate key meetings by taking detailed minutes, preparing documentation, and ensuring timely communication of actions.
Internal Communications: Act as a communication hub within the organisation, delivering clear and concise messages to ensure alignment across teams.
Team Collaboration: Partner with leaders to streamline processes, organise events, and support initiatives that drive organisational success.

About You
We're looking for someone who combines professionalism with a personal touch, ensuring the needs of the team are met with care and precision.
Strong organisational and time-management skills.
Proficiency in Google Suite (non-negotiable).
Experience managing complex diaries, meeting agendas, and travel arrangements.
Exceptional written and verbal communication abilities.
Proactive, self-motivated, and detail-oriented.
