This hands-on and dynamic role will suit an exceptional multitasker who can use their initiative to ensure each day runs seamlessly.
This role will be responsible for typical EA tasks; however, it will also see the successful candidate become a key leader within the business, managing high-level reporting and communications.
We're looking for someone who is fun, friendly, approachable, and easily builds relationships with others while always maintaining professionalism.
You will have experience in a corporate environment and bring the ability and confidence to work autonomously, prioritise workload, and communicate effectively across all levels of the business.
Exposure to event coordination, working with Excel reports, and preparing executive papers will be advantageous; however, it is not essential for success in this role.
A keen eye for detail and impeccable written and verbal communication skills will allow you to prepare high-quality presentations on behalf of your manager.What do I need?Contributes significantly to the effective running of the team, including arranging meetings (room bookings, catering, agendas, and distribution of minutes), travel bookings, and distribution of communications.Provides financial administration and support for expenditure, account payments, and reconciliations via Coupa.Completes personnel administration within PeopleHQ and PeopleXpress ensuring accuracy of data, reporting hierarchy, and LMS job alignment.Manage the administrative aspects of onboarding new staff members including introductory meetings, creation of profiles, and IT equipment and system access.Coordinates and ensures all time sheeting is complete for the team in Clarity.Maintains a support network amongst the EA/Assistant community to share best practices and ensure consistency where appropriate.Coordinates and drives any specific/adhoc events within the teams supported.Contributes ideas to create opportunities, identify process improvements, and enhance the One Westpac team culture.Surfaces issues and works with the team to find solutions and follows through with actions or escalates as appropriate.Manage all Health Safety & Wellbeing requirements for the teams supported – including record keeping, reporting, and monthly audits.3+ years relevant experience in an administrative or support role.Good practical knowledge of Westpac's internal workings (systems, processes, policies) and how to navigate these to get the job done.Experience using Corporate HR and finance Systems advantages but not essential.Proficient in all MS Office applications, in particular Excel, Teams, PowerPoint, as well as Jira, Clarity, and Confluence (desirable).What's it like to work there?We are a collaborative team of passionate people with a shared ambition to make a difference for our customers, our communities, and each other.
