Space Machines Company is seeking a versatile Executive Assistant to support the leadership team, be SMC's Sydney office manager , and contribute to our marketing efforts. You will be responsible for providing high-level administrative support, managing schedules, coordinating meetings and travel arrangements, and handling various office administration tasks to help SMC achieve its goals.What will you do?Manage the CEO's communications, prioritizing emails and handling inquiries professionally.Coordinate complex schedules, meetings, and travel arrangements for the CEO and the team.Manage and maintain the CEO's calendar, ensuring effective time management and scheduling of commitmentsManage the Sydney office, including reception duties, maintaining office supplies, and ensuring a professional work environment.Organize and facilitate on-site meetings, including visitor management and logistics.Prepare professional documents, presentations, and reports using Canva and Google Workspace.Contribute to the creation of marketing materials using Canva and other design tools.Handle administrative tasks including document management, expense tracking, and new employee onboarding.Assist in planning and executing corporate events, trade shows, and product launches.Coordinate with vendors and manage event logistics to ensure smooth operations.Support merchandising strategies, including inventory management of promotional items.Conduct research and provide analytical support for various initiatives.Maintain strict confidentiality with sensitive information.Assist with special projects and ad-hoc assignments as neededWho are you?The ideal candidate will possess:Minimum 5 years of experience as an Executive Assistant or in a similar roleBachelor's degree in Business Administration, or a related fieldExperience in office management and reception dutiesKnowledge of travel booking and logistics managementExperience in event planning and basic marketing principlesProven track record of providing high-level administrative supportExceptional time management, organizational, and multitasking abilitiesStrong attention to detail and commitment to confidentialityAdvanced proficiency in MS Office, Google Workspace, and CanvaExcellent written and verbal communication skillsAbility to work independently and collaboratively in a dynamic environmentStrong problem-solving and critical thinking skillsInterest in the space industry and willingness to learn
