Full time, continuing role for experienced Executive Assistant to join the University of SydneyBase salary from $108,557 plus 17% SuperannuationAbout the opportunity The Executive Assistant provides the full suite of professional executive support services to the Chief University Infrastructure Officer (CUIO) and Director, Engagement, in a timely and effective manner, ensuring their specific needs and day-to-day requirements are managed efficiently. As the first point of contact representing the CUIO and Director, Engagement, the role requires a great deal of tact and understanding, ensuring confidentiality while maintaining a client-focused approach.
Your key responsibilities will be to: Act as the first point of contact for the Chief University Infrastructure Officer and Director, Engagement, maintaining effective communication channels and prioritizing requests.Provide broad, high-level professional executive support to the CUIO and Director, Engagement, managing their day-to-day administration activities.Undertake diary, email, and document management, including monitoring and prioritizing emails and assisting with response preparation.Develop and manage relationships with senior executives and staff across the University, understanding key priorities and escalating important issues as needed.Provide administrative support for departmental recruitment activities, ensuring compliance with the University's job design and recruitment policies.Develop and maintain effective administrative systems and practices, ensuring compliance with the University's policies and procedures.The University values courage and creativity; openness and engagement; inclusion and diversity; and respect and integrity. We are looking for an Executive Assistant who can demonstrate:
Previous experience as an Executive Assistant or similar in a higher education environment (desirable).Strong written and verbal communication skills with a high level of attention to detail.High level organizational skills with proven ability to manage multiple tasks and meet deadlines.Excellent interpersonal skills with the ability to liaise effectively with all levels of staff and external stakeholders.Advanced computer literacy, including MS Office (Word, Excel, PowerPoint) and MS Teams.Excellent time management skills with the ability to respond to changing priorities.Negotiation, conflict resolution, relationship building, and influencing skills, with high levels of tact, diplomacy, and discretion.An understanding of WHS and compliance in a large complex organization.Sponsorship / work rights for Australia Please note: Visa sponsorship is not available for this position. For a continuing position, you must be an Australian or New Zealand citizen or an Australian Permanent Resident. Australian Temporary Residents currently employed at the University of Sydney may be considered for a fixed-term contract for the length of their visa.
