We are looking for an Executive Assistant to join the team in Sydney, Australia.
This role has the primary responsibility to provide a full range of business support and administrative services to the Managing Director of Australia & New Zealand/Head of Institutional Business, APAC (ex-Japan).
What are the ongoing responsibilities of this position?
Effective diary management to Managing Director Assist team with arranging complex internal and external client and stakeholder meetings Coordinate local and global videoconferencing/teleconferencing requests including room bookings, catering, and set up Serve as a liaison between the Managing Director, their leadership team and all relevant stakeholders Manage and reconcile monthly corporate card expenses and invoices All travel arrangements (domestic and global) including itineraries and visa application Assist and arrange complex global international visitor's itineraries and logistical arrangements Prepare weekly/fortnightly team meeting agendas and logistics including minutes and actions when required Assist with the preparation of presentations and client briefing notes ensuring all documentation is completed to a high standard Effectively communicate with external clients and business partners in an efficient and professional manner Provide support to Event's team on internal/external client functions Monitor and submit all general office maintenance requests when required Act as main point of contact for the office to the team, clients, and internal/external stakeholders What qualifications, skills and experience would help someone to be successful?
Minimum 10 years of prior experience in an Executive Assistant role Knowledge of CRM system is an added advantage Advanced knowledge in Microsoft Office Suite A good understanding of the financial services industry Exceptional written and verbal communication skills Confident in communicating with clients and business partners of varying seniority Well presented, able to demonstrate initiative and clear decision making Detail focused with strong organisational and time management skills Able to commit at least 4 days per week in office About Us At Franklin Templeton, we embrace individual differences and value perspectives brought by global diversity.
