Job Description Permanent RoleSydney based - hybrid workingIncredible opportunity to join the BT Service and Operations team How will I help?

The Executive Assistant will be responsible for providing support to the Head of Service and Operations at BT Financial Group, by delivering the efficient and effective coordination of all office functions, diary and email management, forward planning, all administrative processes with a strong knowledge of Westpac systems (preferred); as well as general support to the leadership team coordinating activities, payment of invoices, and expense reconciliation. You will also be responsible for, but not limited to:
Diary management for Head of Service and Operations, including coordination of internal and external meetings and ensuring they are fully prepared for all meetings with papers, appropriate travel and break times and proactively manage the follow-up of outstanding business issuesInbox management including filing, monitoring and prioritisation of emails based on urgency and importanceWorking closely with the Senior Operations role and the EAs across the wider BTFG and Westpac network where requiredPlay an informal leadership and coordination role with other support roles within the Service and Operations business unitBooking travel arrangements including flights, accommodation, and transportation for business trips both domestic and internationalManaging expenses and processing accounts, payments, and reimbursements in a timely and compliant manner, in WEAPS, e-buy, COUPA and PromasterGeneral support to the business unit leads including approval of IT requests, PeopleHQ requests and User Access RequirementsUpdate and maintain the team distribution listsEvent management supportDealing with requests from key internal and external stakeholders What's in it for me?

What do I need?

The ideal candidate will have previous experience working as an Executive Assistant, and can self-manage, and achieve objectives within an ambiguous, changing environment. You will be able to effectively communicate with and influence internal stakeholders and have strong organisational and time management skills. You will be proactive, accountable, and have the ability to execute responsibilities with professionalism. In addition to this you will have:
Advanced diary and email management skillsStrong PC literacy (MS Office: Word, PowerPoint, Excel, and TEAMS)A high attention to detail with excellent planning and organisation skillsExperience coordinating travel arrangements and accommodationExcellent verbal and written communicationPrevious experience working in the financial services industry and a project environment is advantageous.
