Role Details The Executive Assistant is a role within the Office for Ageing Well in the Inclusion, Supports and Safeguarding Division and is accountable to the Senior Project Officer, ICT Systems for:
Providing a quality, confidential executive support service, incorporating decision making and a proactive approach to provide an effective level of management of the Office for Ageing Well Executive team. Managing the timely coordination of information, documentation, and correspondence, including briefings and Ministerials. Monitoring that policy and procedures, standards and customer service principles are applied in the delivery of administration services. Key outcomes and accountabilities: Manage and maintain the Director, and Executive Director's diaries in a timely and efficient manner, including the preparation of meeting papers. Maintain awareness of emerging issues requiring the Director or Executive Director's attention and use judgement to deal with appropriately. Provide executive support at meetings, including agenda preparation, minute taking and document preparation and distribution. Organise meetings, conferences, forums, and travel arrangements/accommodations in a timely manner. Coordinate correspondence, including briefings and Ministerials, and develop and maintain an effective and efficient system for managing and tracking correspondence, including use of Objective Records Management. Take initiative in the identification of issues and the collation, preparation, and presentation of information for consideration by the Director, Executive Director and Office for Ageing Well leadership group. Exercise responsibility for discrete, minor projects and provide assistance during major projects. Note: Any other responsibilities in line with the classification level of the role as assigned by Line Manager and/or the Department. The responsibilities as specified above may be altered in accordance with the changing requirements of the role.
