THE OPPORTUNITY:
Reporting to the Chief Financial Officer and General Counsel, this role will provide a range of administrative and organisation support and liaison activities whilst promoting a positive image to all stakeholders, including the Board, Management, employees, internal and external stakeholders.
This is a permanent full-time role based at our beautiful West Perth office, near the City West train station.
Key responsibilities include but are not limited to:
Mailbox management by monitoring, responding as required and filing emails
Diary management by scheduling meetings, room bookings and appointments
Drafting, proofreading and editing documents, forms, agendas and presentations
Organising domestic & international travel, as well as visits to site
Managing logistics for conferences and roadshows including the annual Pilgangoora Investor site visit
Processing monthly credit card statements and expense claims
Maintaining accurate record keeping of the Material Contracts and ASX Disclosure Registers
Providing back-up support for fellow EA's as required
Supporting the CFO and General Counsel's respective teams including Finance, Legal, IT, Investor Relations, Company Secretariat, Risk & Compliance
Assisting Company Secretariat with monthly Board and Committee Meetings including co-ordinating the Annual General Meeting
Updating Nasdaq IR Insight portal with meeting and conference notes provided by the Investor Relations Manager
Liaising with the Legal Practice Board WA and managing General Counsel's requirements relating to renewal of practising certificate
Raising and managing purchase orders and invoices
Managing your area's car bays and assisting with your teams' new starters.
ABOUT YOU:
Significant previous experience as a PA/EA, preferably within the mining and resources or Legal sector
Proficient user of the Microsoft office Suite of products – particularly Outlook, PowerPoint, Word and MS Teams
Excellent customer service standards
Travel booking experience for both domestic and international
Extremely organised yet adaptable
Excellent written and verbal communication and interpersonal skills
Ability to maintain confidentiality and apply discretion as required
