Our Managing Director is seeking a highly organised, motivated and proactive Executive Assistant to join our team. This role is crucial in ensuring the smooth operation of the Managing Director's schedule and daily activities.
Key Responsibilities In this role, you will be responsible for:
Managing and coordinating the Managing Director's schedule, including appointments and meetings, together with court and governance commitments, using Microsoft Outlook Calendar, Microsoft Teams and Zoom; Acting as the primary point of contact between the Managing Director and internal/external stakeholders, including clients; Preparing and editing correspondence, communications, presentations, and other documents; Handling confidential information with discretion and professionalism; Assisting in the preparation of legal documents and case files; Organising and maintaining the Managing Director's office and filing system; Providing administrative support to the Managing Director in all aspects of their role; Providing assistance to the wider team as required. About You The successful candidate will:
Demonstrate proven experience as an Executive Assistant or in a similar administrative role. Recognise the value and importance of your role in being the gateway to support our clients. Have good interpersonal skills – including written and verbal communication – with a mature attitude in dealing with confidential matters. Demonstrate strong attention to detail and quality in all work. Demonstrate initiative, enthusiasm and pride in your work. Be well organised and self-motivated with a pro-active approach to your work. Have the ability to work independently and as part of a team. Be professionally presented and articulate. Be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Sharepoint). Have a fast and accurate touch typing speed. At Mullane and Lindsay Solicitors we provide:
