We're looking for an energetic, creative and pragmatic Executive Assistant to join our Sydney legal team.
This role is many and varied, and the ideal fit will be a proactive problem solver with exceptional communication and organisational skills, meticulous attention to detail, and someone with the flexibility and enthusiasm to adapt to the dynamic nature of the role.
Above all, we need a self-starter who is intellectually curious, collaborative and can be relied upon to get the job done!
What does the job look like? The role will focus on providing conscientious and efficient legal/administrative support to the Sydney General Counsel's Organisation (GCO) team which supports Australia and New Zealand to ensure that the department runs smoothly, and that internal clients and business partners are serviced efficiently and professionally.
Types of work that you will be required to do include: Management of all legal correspondence including subpoenas, court orders, production orders and other ad-hoc legal requests, ensuring compliance with applicable law.Assist company secretaries with corporate governance duties across multiple legal entities in Australia and New Zealand, including board meeting preparation, director training, lodgement of regulatory filings, preparation of meeting agendas, and drafting minutes and resolutions.Provide direct support to the General Counsel and VP/Senior Counsel and other senior leaders in relation to diary management, including management of meetings spanning multiple time zones, preparation of presentation materials for leadership updates and other legal presentations.Management and tracking of outside counsel legal expenses and legal budget, including liaising with vendors payable, GCO Operations team and external law firms to ensure prompt payment of invoices and resolution of any invoice queries.Day-to-day administrative support including coordinating team meetings and events, management of travel bookings, expense management, database administration, filing and records management responsibilities.Must Haves Proficient in Microsoft Office (Word, PowerPoint, Outlook and Excel), and an aptitude to learn new systems and software.Strong verbal and written communication skills and excellent interpersonal skills with demonstrated capacity to proactively build new relationships at all levels across various lines of business.Good time management and organisational skills and an ability to handle multiple tasks while maintaining a high degree of accuracy and attention to detail.High degree of integrity including ability to maintain confidentiality of sensitive matters with tact and discretion.Self-directed and displays a high level of initiative and accountability, with the ability to work independently and remain calm under pressure, and a willingness to undertake progressively more complex tasks.Team player who works effectively with peers to meet goals and deadlines.Great to Haves Prior legal experience, particularly In-house highly desired.Experience working in an office environment, performing administrative duties and providing support to management.Experience managing a diverse workload.Good to Haves Interest in technology, payments, Fintech, blockchain, open banking, big data and the legal and regulatory issues impacting those areas.If this sounds like something you are interested in, drop us your CV.
