Support a dynamic executive leader in shaping the strategic direction of the College of Human and Social FuturesLiaise with senior College leaders and stakeholders while contributing to strategic projectsApply your organisational excellence and attention to detail in supporting multiple priorities in a dynamic, complex environment.Be challenged and imagine with us The College of Human and Social Futures is seeking a proactive and highly experienced Executive Assistant to provide high-level support to the Pro Vice-Chancellor (PVC). This role is central in ensuring the smooth operation of the Office of the PVC, offering executive, administrative, and analytical assistance to support the College's strategic planning, decision-making, and daily operations. You will:
Manage the PVC's diary, correspondence, and meeting preparations, ensuring all materials are ready for engagements.Provide secretarial support for key meetings, including agenda setting, minute-taking, and tracking actions.Oversee the PVC's domestic and international travel arrangements, financial management tasks (purchasing, tracking expenses), and the coordination of visiting delegations.Gather, research, and analyse data to produce timely reports that inform the College's strategic planning.Liaise with senior leaders across the university to collate relevant information and insights.Contribute to College projects and process improvement initiatives, ensuring the effective implementation of quality systems and procedures.Build and maintain relationships with key internal and external stakeholders to ensure seamless communication between the Office of the PVC and other university divisions.This continuing position is full time at a HEW 6 Higher Education Level located at NUSpace, Newcastle City Campus.
About You: You are highly organised, detail-oriented, and thrive in a fast-paced environment. With strong communication skills, you're able to build effective relationships with stakeholders and manage multiple priorities with ease. You bring a collaborative approach, enjoy process improvement, and have the ability to handle sensitive information with discretion.
Minimum Requirements: A degree with subsequent relevant experience; or extensive experience and specialist expertise; or an equivalent combination of relevant experience and/or education/training.Demonstrated ability and capacity to deliver outstanding professional support to senior staff in a large complex environment.Proven track record to successfully manage a range of competing priorities, apply initiative and resolve complex issues.Demonstrated organisational, administrative and committee skills, including attention to detail in a busy, complex and rapidly changing professional environment.Outstanding communication and interpersonal skills, including the ability to maintain confidentiality and capacity to build effective relationships with internal/external stakeholders.To ensure that your application receives full consideration, it's important to structure and address the selection criteria outlined in the application process.
