As we continue to grow, we are seeking a highly skilled and proactive Executive Assistant to support our General Manager and Executive team.
Job Description Reporting to the General Manager, you will be a trusted and professional member of the team that will play a pivotal role in ensuring the smooth operation of our GM function and head office. You will provide high-level administrative support to the GM and other senior executives. The ideal candidate will be organised, resourceful, and be able to pro-actively handle a wide range of administrative tasks with professionalism and confidentiality at all times.
Key Responsibilities: Serve as the primary liaison for all matters concerning the General Manager, particularly those of a confidential or critical nature. Exercise judgment in prioritising tasks and deciding on the appropriate course of action or response to align with the GM's preferences. Oversee the coordination of monthly and quarterly Business Meetings and compile subsequent pre-read or presentation decks. Manage the GM's calendar and emails, prioritising inquiries, troubleshooting conflicts, and providing recommendations to ensure seamless day-to-day operations. Undertake various administrative duties to support the GM's leadership role effectively, such as creating documents and presentations, assisting with special projects, organising meeting materials and responding to correspondence. Arrange domestic and international travel, including car rentals, hotel accommodation and restaurant bookings as needed. Ensure accurate completion of expense reports and credit card reconciliations. Manage some general office administration tasks such as ordering supplies, couriers, dealing with external visitors and contractors. Keep the GM well-informed about upcoming commitments and tasks, following up as necessary. Act as a perceptive observer of the organisational environment, anticipating the GM's requirements. Uphold strict confidentiality and discretion in all situations. Skills and Experience: Proven experience as an executive assistant or similar role, supporting senior-level executives essential. Excellent organisational and time management skills, with the ability to multitask and prioritise effectively. Strong written and verbal communication skills, with particular attention to detail Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to maintain confidentiality and exercise sound judgment in all interactions. Resourcefulness and problem-solving skills, with a proactive approach to addressing challenges. Flexibility to adapt to changing priorities and work effectively in a fast-paced environment. Ability to anticipate what is needed rather than require daily direction.
