POSITION OBJECTIVE To provide efficient and confidential executive and administrative support to the Infrastructure Services Department ensuring high quality, accurate delivery of services and support.
POSITION REQUIREMENTS Demonstrated minimum two years' experience in a similar role, preferably in Local Government. Demonstrated high level verbal and written communication skills. Demonstrated high level computer skills including Microsoft Suite of Programs and Councils other software applications. Demonstrated excellent organisational and time management skills. Ability to work well within a team environment. High level of confidentiality and ability to exercise discretion in a professional manner essential. Well-developed interpersonal communication skills with a high level of customer service aptitude. Advanced competency in the use of the Microsoft Office suite of programs. High level of written communication and report writing ability. A team approach with the ability to multi-task. Self-motivated with strong time management, problem solving and decision making abilities. Previous experience in the role of Executive Assistant. Knowledge of Council's corporate applications. Current "C" class manual Driver's Licence or ability to acquire a licence prior to officially commencing in the role. KEY RESPONSIBILITIES This position is responsible for the following areas and includes but is not limited to:
Provision of a high level and full range of confidential administrative support in a timely and accurate manner with excellent attention to detail, including records management, communication management and maintenance of registers and databases for the department. Undertake research and provide assistance to the Director Infrastructure Services in the development of reports on complex issues, emerging trends, policies and other strategic issues, as required. Demonstrate intuition and initiative ensuring the Director Infrastructure Services is adequately prepared with the relevant information required for meetings and events. Provision of accurate and up to date document control. Preparation and distribution of reports, agendas and minutes for Council and committee meetings ensuring the highest level of confidentiality is maintained. Preparation of professional written and verbal correspondence to internal and external customers and agencies. Coordination of departmental meetings and events. Effective records and information management in compliance with Council procedures and relevant retention requirements. Provision of administrative support for financial processes ensuring compliance with Council's Procurement Policy. Responsible for the administration of the tendering process. Effective management of the electronic diary of Director Infrastructure Services to ensure timeframes are met. Undertake project work as required by the Director Infrastructure Services. Provide relief services for Executive Services, as required. Assist the Senior Executive Assistant where required. Out of ordinary hours work may be required. You are required to follow any other lawful and reasonable directives provided by your supervisor or more senior officer. Council reserves the right to change these duties at any time. KEY PERFORMANCE INDICATORS Provision of professional advice in accordance with relevant legislation and recognised industry standards. All assigned tasks completed professionally and on time. High level of confidentiality maintained. High level of customer service to both internal and external customers evidenced. High level of participation and commitment to team outcomes. Develops, promotes and complies with council policies and procedures. Other targets as outlined in a Performance Review are achieved. Effectively process customer complaints ensuring compliance with Councils Policy and Procedure.
