About the Role: As the Executive Assistance for one of our Chief's, you will provide administrative support and coordinate day-to-day activities through effective diary management, event and meeting coordination including coordinating travel, document preparation, invoice and expense management, and internal and external stakeholder management.
You will have access to high level stakeholders and sensitive information that will require an exceptional degree of discretion, diplomacy and attention to detail, and require you to have the ability to communicate both written and verbally at all levels of the community.
Your responsibilities include: Be the 'go to' for a number of committees coordinating their meetings, agendas, action item follow up, Board papers and presentations Administrative support including maintaining diary and coordinate meeting schedule to ensure your Leader is able to maximise efficiency, meet stakeholder expectations and fulfill the requirements of their role Arrange meeting logistics, including booking meeting rooms, catering and technology requirements, taking minutes and action items Assist in arranging travel and accommodation needs for the team and assist with coordinating financial activities including processing invoices and managing Corporate Credit card statements and expense reimbursements Support contract management, planning and reporting, priority projects/initiatives and support the delivery of projects, research and represent your Leader on taskforces / committees Coordinate activities for events and functions in line with time and budget requirements Maintain accurate records including Function distribution lists, intranet information, external stakeholder / supplier records Compliance with administrative processes, reporting, and continuous improvement activities Support a team culture of participation, collaboration and coopertiion We currently have two Executive Assistance positions available in:  Policy, Standards & External Affairs Finance Operations About You: You will be a proactive and super organised professional who is willing to do what it takes to get the job done.
You will also have: Advanced computer skills with particular emphasis on the creation of reports, budgets, presentations and the use of databases Ability to plan and prioritise own work as well as that of the Executive The ability to effectively manage relationships between management and stakeholders Excellent attention to detail and organisation skills A broad understanding of organisational processes, policies and procedures with a specific understanding of business operations The ability to manage, co-ordinate and facilitate key activities and events, often with tight and conflicting deadlines Capability to undertake research related activities, providing timely advice and identification of issues and potential solutions Team player – able to work and communicate effectively in a small closely interactive team Ability to prioritise numerous responsibilities and manage competing deadlines and requirements of the Executives and their portfolios Why we love working here:  We are a Values led organisation, we?Create opportunity,?Pursue excellence,?Achieve together  Health and Wellbeing sessions, learning labs, generous reward and recognition program.
