About the RoleReporting to Sue Jackman, the Executive General Manager, this is a pivotal role within Service Delivery, a large portfolio spanning operational delivery works across wider Melbourne. As the Executive Assistant you will be responsible for providing high level, professional support to the Executive General Manager, with a key focus across calendar management and event coordination. This position has exceptional relationships across all levels of the organisation and portfolio and provides exceptional administrative management to ensure delivery of strategic objectives and the portfolio and EGM deliverables. This role provides support across multiple Melbourne Water corporate offices and our operational sites, with an element of travel required to do so.
Key ResponsibilitiesDevelop an in-depth understanding of EGM/group obligations and priorities to maximise on opportunities and to align outcomes with Melbourne Water's Strategic Direction.Coordinate and organise events and forums with a hands-on approach to delivery of multiple internal and external events.Management of administration work related to the EGM, inclusive of diary and inbox management, meeting preparation and briefing material coordination.On behalf of the EGM, coordinate tasks for personal, portfolio and enterprise effectiveness.Coordinate EGM and Portfolio to prepare Board and Sub-Committee papers and submit formatted papers into Inflow to agreed distribution deadlines, including liaising closely with the Assistant Company Secretary to ensure a smooth and coordinated approach.Previous experience supporting an Executive, experience working with an Executive in a 24/7 operational environment will be highly advantageous.Ability to work with a high level of autonomy and confidence in liaising at all levels of the organisation and in the representation of the EGM/group's position on various matters.Demonstrated event and/or project management skills and experience.A team player who is proactive and can also work autonomously with minimal supervision.Highly developed organisational skills and demonstrated flexibility to manage priorities.Experience in coordinating complex work programs and ensuring adherence to key timelines.An enthusiastic and dynamic approach when faced with pressure of tight deadlines and conflicting demands.Ability to adapt as priorities change or as issues emerge and to demonstrate leadership when supporting the group on key challenges.Ability to work with confidence and establish trust and respect with the Executive and Senior Leadership Team and across the organisation.A current Victorian Driver's license, with regular travel required to support this role.At Melbourne Water, we care deeply about water and the life it sustains.
