THE OPPORTUNITY As the Executive Assistant reporting to the Managing Director (MD), you'll be their right-hand person, providing comprehensive support to ensure the smooth functioning of the Director's responsibilities and company operations.
Key Responsibilities: Email Management: Oversee the MD's emails, assist with triage, and delegate tasks as required.Stakeholder Coordination: Work with internal teams to compile reports, documents, technical drawings, and respond to customer design enquiries.Communication: Draft and send emails on behalf of the MD or team, ensuring all documents are accurately attached and referenced.Meeting Organisation: Schedule meetings, book rooms, and ensure preparations are complete. Take meeting minutes and draft memorandums to capture key decisions and actions.Travel Arrangements: Organise transportation, flights, accommodation for the MD's external meetings or conferences.Customer Hosting Organisation: Assist the MD with hosting potential customers, including organising and potentially going along to some site, project or office visits locally.Business Support: Prepare business proposals, templates, and reports to support the MD.Multinational Coordination: Use AI or translator apps when working with international stakeholders (no prior language knowledge required).Calendar Management: Coordinate calendars, set reminders, and ensure efficient time management.Office Administration: Handle HR, office, and building administration, and provide reception duties for visiting stakeholders.Contract Management: Assist in filling out contract templates and sending them to relevant parties.Point of Contact: Act as the MD's representative when they are unavailable, liaising efficiently with customers and internal teams.Additional Support: Provide high-level administrative assistance and undertake ad-hoc tasks to support the MD and Board of Directors.
