Day-to-day you will provide high-level, comprehensive, confidential, and professional support to the General Manager (GM) in all aspects concerned with the efficient and successful operation of the Growth & Infrastructure (G&I) Function, including limited administration support to the wider G&I Leadership Team.

Responsibilities Support the GM in day-to-day operations including diary management, coordination of meetings and other events, prioritise and arrange appointments, travel, and accommodation as required. Ensure GM is well prepared for future meetings/appointments and assist in the preparation for media/other high-profile engagements. Meeting management and secretariat responsibilities which includes co-ordinate papers, agenda, meetings, and minutes for all meetings required by GM (includes executive level meetings, function level team meetings and others as required). Organise meetings, functions, workshops, and venues and organising as required catering, technology requirements, distribution of relevant associated meeting documentation. Assist GM and Leadership Team with the preparation of Board and Sub-Committee Papers and Business Matters, ensuring all deadlines are met for circulation and distribution of papers. Review all board and committee items on behalf of the Function to ensure correct and consistent formatting and attention to detail. Preparation of Function specific reports as required by GM and Section Managers. Attend team meetings, prepare, and distribute meeting documentation in a timely manner including minutes, agendas, action lists and undertake follow up to action items. Set up purchase orders and process invoices for Office of the GM as required, assist GM with expense reimbursement claims and monitor Office of the GM administration budgets. Skills and Experience Proven experience in a similar executive assistant role, proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and SharePoint combined with high attention to detail, diligence, and accuracy. Exceptional communication and engagement skills, adept at interacting with diverse internal and external stakeholders at all levels. Excellent organisational skills, including time management, and the ability to adapt to changing priorities and manage complex work programs. High degree of initiative, ease in building trusted working relationships, proactive approach coupled with forward-thinking, and the ability to identify process inefficiencies and implement improvements.
