Let's create what's next.The OpportunityThe Investment business unit is responsible for investing the various sector portfolios on behalf of the funds managed by the Agency. The primary focus of this role is to provide executive assistance within the Investment Team, which is made up of Portfolio Design and Portfolio Asset teams.Based in either Melbourne, as an EA in the Investment team, you'll have exposure to a variety of administrative and executive support related tasks. The role requires a high degree of self-motivation and drive as you'll be expected to work independently. The ability to interact with staff at all levels, in a fast-paced environment, often working against deadlines, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.Key ResponsibilitiesIn this role, key responsibilities will include email and diary management for team members, ensuring meetings are well-coordinated and communications are handled efficiently. You will also support various projects, coordinate meeting materials, reconcile expenses, and manage a range of documentation. You'll also provide support and coordination for various committees within the investment team as well as the Board.You'll also liaise with our internal travel team to arrange domestic and international travel, ensuring that all logistical aspects are in place, from cost-effective travel arrangements to preparing necessary documentation. You will also be responsible for maintaining our electronic filing systems, identifying opportunities for efficiency improvements, and fostering strong relationships with both internal and external stakeholders. As part of the wider Executive Support Team, you will collaborate closely with colleagues to ensure seamless team operations. Success in this role means contributing to a highly organised, productive, and effective work environment.About YouWe're seeking an experienced Executive Assistant, ideally with experience in the investment or financial services sectors. The ideal candidate will have a certificate in Office Administration (or equivalent) and demonstrate strong organisational skills, a proactive approach to managing tasks, and the ability to handle complex domestic and international travel arrangements. Advanced proficiency in Microsoft Teams, Outlook, Word, PowerPoint, and Excel is essential, along with the ability to build effective relationships with colleagues and external stakeholders.Key competencies include excellent communication skills, both written and verbal, and a collaborative mindset that fosters strong working relationships within the team and across the organisation. The successful candidate will be a self-starter who takes ownership of their work, acts with initiative, and consistently delivers high-quality outcomes.
