As TigerConnect continues to expand its operations, we are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive support to our C-Level Executives. This pivotal role will be based out of our office in Mexico City (Reforma area), with responsibilities extending across both Mexico and the United States. The successful candidate will play a critical role in maintaining the productivity and efficiency of our leadership team, bringing structure, dependability and positivity to the business.
What You'll Be Doing:
Efficiently manage and maintain the calendars of the executives you support, ensuring all appointments, meetings, and events are scheduled appropriately, and potential conflicts are proactively addressed.
Take ownership of tracking, reviewing, and reconciling expenses for the executive team, adhering to company policies and guidelines.
Assist in the preparation and review of presentations, reports, and other documents, ensuring accuracy, and professionalism.
Arrange international and domestic travel itineraries, including flights, accommodations, transportation, and visa arrangements, as required.
Coordinate and schedule internal events, conferences, and meetings across Mexico City and the United States, including all logistical arrangements and follow-up actions.
Act as a gatekeeper, handling calls, emails, and other correspondence on behalf of the executives, maintaining confidentiality and professionalism in all communications.
Organize and maintain critical files, records, and documents, ensuring they are easily accessible and up to date.
Support the executives in ad-hoc projects and assignments, collaborating with other team members as necessary.
Foster a positive and lighthearted working environment, always demonstrating a willingness to help and learn, and encouraging collaboration across all teams.
What You Bring:
Bachelor's degree in Business Administration, Management, or a related field is strongly preferred.
Proven experience as an Executive Assistant, preferably to multiple executives and in a multinational corporate environment.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant productivity tools.
Excellent verbal and written communication skills.
Exceptional organizational and time management abilities, with the capacity to prioritize tasks effectively.
Strong attention to detail and the ability to handle confidential information with discretion.
Ability to work independently and collaboratively in a team-oriented setting.
Flexibility to adapt to changing priorities and deadlines.
A positive disposition, eagerness to help, and openness to learning and asking questions.
