We are seeking a highly organized and proactive Executive Assistant to support the owner of a growing personal injury law firm. This individual will play a key role in managing the owner's daily activities, both professional and personal, ensuring that his time is maximized for high-impact tasks. Competitive Salary based on experience.Holidays and Paid Time OffHealth insuranceWork Location: In PersonSchedule: M-FJob Type: Full-time, salary (non-exempt)Salary: We offer a competitive salary range of $50,000 to $70,000 per year, depending on qualifications and experienceBackground checks: RequiredResponsibilitiesOrganize the firm owner's daily agenda, schedule appointments, manage reminders, and ensure meetings are well-coordinated.Monitor, prioritize, and respond to emails or correspondence on behalf of the firm owner. Draft letters and routine communication. Manage the owner's email and calendar with precision and efficiency, prioritizing appointments and ensuring smooth daily operations.Organize business and personal events, such as meetings, dinners, firm events, and social gatherings.Handle personal errands, manage household service appointments (e.g., maintenance, cleaning), and assist with personal tasks as requested.Track and organize personal finances, assist with payments, and manage expenses.Arrange personal vacations, events, or family gatherings, handling all logistical details.Help manage and track expenses, ensuring that receipts and records are maintained for reimbursement purposes.Manage projects or tasks assigned by the firm owner, ensuring they are completed on time without requiring high-level decision-making.Assist in scheduling team events or meetings, ensuring team directives are efficiently communicated, without stepping into a supervisory or operational role.Proactively identify tasks and responsibilities that can be delegated using the principles from the book Buy Back Your Time, allowing the owner to focus on high-revenue-generating activities.Act as a gatekeeper to ensure the owner's time is protected, balancing urgent matters with long-term planning.Book and coordinate business and personal travel arrangements, including flights, accommodations, and transportation, ensuring smooth and hassle-free trips.Coordinate with other team members and vendors to ensure the smooth running of business and personal tasks.Take responsibility for whatever needs to be done to ensure the owner can focus on high-priority tasks and revenue-generating activities, both professionally and personally.QualificationsProven experience as an executive assistant or similar role, preferably supporting a senior-level executive or business owner.Excellent organizational and time-management skills.Strong written and verbal communication skills.Ability to handle multiple tasks and prioritize effectively.Proficiency in Microsoft Office (Word, Excel, Outlook) and other relevant software.High level professionalism and discretion in management confidential matters.Ability to work independently and collaboratively in a fast-paced environment.Experience in a law firm or legal setting is a plus but not required.Comfortable managing personal and household tasks alongside business-related duties.Experience with time management or productivity tools is a plus.Experience with booking and coordinating travel is required.Compensation $50,000 - $70,000
