PA, EA & Secretarial (Administration & Office Support) Melbourne location with hybrid working arrangementsSupporting two senior leaders in Private WealthBe part of a vibrant and growing business How will I help?We are currently looking to recruit an experienced Executive Assistant to provide support to two Private Banking senior leaders in an evolving, agile and highly professional environment. This is an exciting time to join Westpac's Private Bank, as we embark on a significant and dynamic growth journey. Day to day responsibilities will include:Diary management, including coordination of all meetings/conferences and preparation of agendas, documents and presentation material.Coordination of team and external guest meetings including managing invite lists, meeting rooms, set-up and materials.Coordination of leadership team key meetings, including the preparation of agendas and presentation material as required.Coordination of team events, functions, training and conferences including distribution of invitations, collating replies, liaising with venue and catering staff etc.Ensure all mandatory training across teams is complete.Initiate and coordinate staff movements (including documentation technology set-ups, security access and stakeholder liaison for new entrants, transfers, separations and desk moves).Facilitate the onboarding and induction process for new starters within the team.Collation of documents/packs to support meetings on a daily basis.Managing and coordinating annual leave plans across teams and job families.Act as the primary point of contact for all other administrative roles within private wealth and with other major stakeholders.Updating and managing Knowledge Management tools such as team intranet and SharePoint sites.What do I need?In order to be successful in the role you will be able to demonstrate:Prior experience in an Executive Assistant role supporting senior/executive leaders (ideally from financial services background)Exemplary Office 365 (Word, PowerPoint, Excel and OneNote)Ability to self-manage, work autonomously and with the ability to make decisionsStrong planning and organisational skills and the ability to manage multiple tasks at any given timeAbility to liaise with staff and clients at all levels and the gravitas to hold senior stakeholders to account.A working style that is team oriented and flexibleWhat is it like to work there?We aim to provide one big, supportive team to help us achieve our purpose of creating better futures together.
