This fast-paced, multifaceted role will be tasked with providing high level administrative and executive support for the Provost including diary management, travel arrangements and secretariat responsibilities.
It will also be required to draft reports and communications, undertake background research and collate accurate information, plan and oversee events and functions, and support finance and HR related duties for the Office.
They will also be required to work collaboratively with the Office Coordinator in supporting the general operational duties for the Provost.
The Executive Assistant will be the first point of contact for internal and external visitors and will therefore have exceptional client service experience along with the proven ability to always represent the Office professionally.
About the person This position would suit a natural organiser and therefore we will be looking for candidates to demonstrate the following:
Relevant tertiary qualifications or equivalent extensive experience in a similar Executive Assistant position.
Proven ability to work as part of a team to problem solve in a complex environment.
Experience in coordinating and managing projects, events, and meetings, including logistics, travel, agendas, and follow-ups.
Proven ability to manage multiple tasks, prioritise workloads, and meet deadlines with a strong attention to detail.
Exceptional verbal and written communication skills, with the ability to draft clear and concise correspondence, reports, and presentations.
Strong sense of discretion and ability to handle confidential information with integrity and sensitivity.
Excellent interpersonal skills, with the ability to build relationships and work effectively with diverse teams and stakeholders.
Demonstrated good judgment and decision-making capabilities in high-pressure situations along with the ability to anticipate issues and proactively address them.
Advanced proficiency using information technology, especially the Microsoft Office suite, email and internet and electronic diaries.
Salary details The salary for this 0.544 FTE position commences at $43,966 per annum (Full-time Equivalent is $80,787 per annum) plus 12% superannuation per annum.
Working hours will be over 5 days.
Please note: The fixed term of this employment contract will be for up to two years, with twelve months' probation.
The prospect of conversion to a continuing employment contract will be discussed at the end of the contract term.
