3 x Executive Assistants, Brisbane – Australia Be part of our Global team shaping the future of Aluminium 3 x Permanent positions with comprehensive benefits Brisbane office based, with flexible working options About the role Rio Tinto Aluminium (Pacific Operations)  is seeking three (3)  Executive Assistants  to join our Team.
You will provide high level administrative support to the Managing Director, Chief Operating Officer (1 role) and various General Managers of the senior leadership team in our Aluminium, Pacific Operations division (2 roles).
This is an exciting opportunity for highly organized, proactive, and adaptable individuals who can easily manage the fast-paced and dynamic demands of senior leadership roles.
Your prior experience in a similar role, a positive "can-do" attitude, and a keen eye for detail will enable you to quickly become a vital part of our team.
Reporting directly to the members of the senior leadership team in Pacific Operations and working within a team environment together with being adaptable to working autonomously when required, you will:   Provide executive-level administrative and secretarial support, managing the day-to-day activities of senior leaders while maintaining confidentiality.
Track, monitor, and take action on tasks, escalating and delegating when necessary.
Oversee diary and email management, along with call screening and visitor coordination.
Organise business workshops, team meetings, room bookings, and calendar invitations.
Prepare presentations, reports, and meeting agendas, and take meeting notes as required.
Coordinate business travel arrangements.
Lead or assist with project-based workflows Build and maintain strong working relationships with other Executive Assistants and provide leave backfill when needed.
Manage end-to-end service requests for stakeholders through systems such as SAP, Workday and ServiceNow.
What You'll Bring To succeed in this role, you will have the following experience and attributes:   Proven experience in an administrative role, ideally within a global organization with multiple time zones, business units, and stakeholders.
Strong ability to anticipate and proactively address the needs of your stakeholders.
A helpful, "can-do" attitude and excellent problem-solving skills.
Proficiency in MS Office Suite (Teams, Excel, PowerPoint, Outlook, MS Forms, Menti) and other relevant software.
Exceptional organizational skills and a solid understanding of standard office administrative practices.
Excellent verbal and written communication skills.
A proactive, multi-tasking mindset with a focus on business improvement.
Adaptability and the ability to collaborate with diverse working styles.
