THE ROLE This is a 12-month fixed-term contract covering maternity leave, starting on either the 9th or 16th of December.
In this role, you'll be at the heart of a team providing essential support to two Executive Managers.
As the primary point of contact for administrative and executive support, you'll play a crucial role in ensuring the team's operations run seamlessly.
From managing schedules and coordinating projects to handling data entry, maintaining calendars, recording meeting minutes, and more, you'll be the "administrative glue" that keeps the team connected and efficient.
THE DUTIES Executive Assistance: Deliver high-level administrative support to two Executive Managers Manage calendars, prepare meetings, and prioritise inboxes.
Reconcile expenses and credit cards, handle approvals, and ensure seamless payment processing.
Prepare and distribute presentation materials, record meeting minutes, and assign action items.
Communication & Coordination: Act as the primary liaison for communication between the Executive Managers and stakeholders, ensuring alignment on priorities.
Proactively manage schedules, set reminders, and take steps to support efficient workflow across the team.
Team Administration Support: Provide backup support to the Executive Assistant to the CEO as needed, ensuring smooth visibility and coordination across the organisation.
Collate and prepare board and committee documents, handle data entry, and support team administration tasks as required.
ABOUT YOU We are seeking a skilled, proactive professional who thrives in a dynamic, collaborative setting.
With a knack for organization and excellent communication skills, you're ready to support high-level executives and streamline team operations.
You enjoy taking ownership of tasks, are flexible with shifting priorities, and have a strong eye for detail.
Experience in administration, secretarial, or assistant roles, adept at managing competing priorities with strong time management skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and SharePoint), with excellent attention to detail and confidentiality.
Strong communication & interpersonal skills to support team collaboration.
Adaptability to respond to changing priorities, with the ability to work independently and solve problems effectively.
Experience supporting C-suite executives and familiarity with Planview ideal but not essential.
