This role will provide support to two Senior Executive Service (SES) officers in the Veteran, Family & Stakeholder Experience Group. These officers are responsible for leading:The Engagement and co-Design (TED) Branch, andCommemorations Branch.The Engagement Branch leads and embeds co-design engagement across DVA, providing professional, consistent and outcome-focused engagements with the veteran community and DVA staff. This includes:Delivery of co-design events with veterans, families, veteran organisations, health provider peak bodies, and staffCentralised oversight of all internal and external surveysBuilding organisational and staff capability to support consistent and structured engagementThe Commemorations Branch is responsible for the planning and delivery of international and domestic commemorative events, managing the DVA portfolio of overseas memorials, delivering overseas construction and/or refurbishment projects, supporting the operation of three overseas interpretive centres, and developing and delivering educational materials.As an APS4 Executive Assistant, you will be at the forefront of day-to-day operations, providing critical administrative, secretarial, and research services to key Branches in the Veteran, Family and Stakeholder Experience Group of DVA.This is an opportunity to showcase your exceptional organisational and communication skills while working to improve the lives of Australian veterans and their families.The key duties of the position include:Act as the first point of contact including greeting visitors, receiving and responding to phone calls, emails, and correspondence and ensuring a high level of customer service to all staff and external parties.Manage diaries including prioritising the SES officer's time and drawing attention to matters of priority.Coordinate meetings with internal and external stakeholders and ensuring the SES officer has all required information for meetings.Establish effective working relationships and high standards of customer service.Engage with branch and other staff face-to-face and online to support a strong team focus.Liaise with internal staff and external agencies on matters relating to the work area.Prepare and/or quality assure general correspondence and less complex documentation in accordance with departmental guidelines.Order supplies and equipment, process accounts for payment and coordinate, collect and analyse information for monitoring purposes.Develop appropriate systems, procedures and controls to enhance the accuracy, timeliness, and presentation of workflow within the branch.Organise, schedule and coordinate all travel arrangements, accommodation, and supporting documentation for the SES officers, and reconcile accounts.Undertake less complex research for the SES officers.Assist with coordinating branch administrative tasks (e.g. phone lists, leave registers, property and accommodation, and regular or ad hoc requests for information).Undertake filing and records management functions ensuring records are accurate, complete and are managed in accordance with departmental policy.Adhere to the APS Values and Code of Conduct.Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS).All applicants external to DVA offered employment will be required to successfully undergo a pre-engagement screening check, even if they have a security clearance.
