As an Executive Assistant to the Head of Client Engagement GTS, you will proactively manage and prioritise the GM1's diary, emails, set tasks and adhoc tasks to ensure all deadlines and business deliverables are met.
You will be responsible for the collation of documents/ packs for meetings – management of travel packs and organisation of itinerary for internal and external meetings (offshore and domestic).
You will coordinate LTE/ ELT team meetings, including agenda management and booking meeting rooms, and coordinate leadership team offsites, including booking venues, distributing invitations and collating replies.
In addition to this you will: Create, maintain, and correct storage/retention of relevant databases, SharePoint sites, files and spreadsheets.
Initiate and coordinate staff movements (including documentation, technology set-up, security access and stakeholder liaison for new entrants, transfers, separations and seating).
Maintain excellent working relationships across the EA and Admin network of GTS, WIB & Westpac.
Be responsible for expense planning and management including processing, reconciling and approving accounts, payments and reimbursements.
Draft internal communications and handle requests for information via phone and mail.
Ensure all people data for the teams in CE are correct in People HQ Produce mandatory and 'ad-hoc' reporting.
Produce reporting to ensure correct input of all half-yearly and yearly Motivate discussions for all team members as required Manage administrative projects as required What's in it for me?

What do I need?
To be successful in this role you will have worked in a similar role at the level described for 3 or more years and have advanced MS Office skills (Excel, Word, PowerPoint) with proficiency in relevant business unit computer systems.
You will have excellent oral and written communication skills (use of appropriate grammar and vocabulary), with effective planning and time management skills.
You will be confident managing multiple tasks and stakeholders, with a strong client service focus, both internally and externally.
You will have the ability to liaise with employees and clients at all levels and will exercise sound judgement and logical thought process in decision making.
Additionally, you will: Communicate confidently and succinctly at Executive levels and to engage and influence the broader CE and GTS teams, stakeholders and clients in line with organisational culture set by GTS LT. Be able to receive feedback and improve through a growth mindset.

Always act with honesty and integrity and have maturity when working with different personality types.
