Monday to Friday role: 9am – 5pm Primary Objectives
We are seeking a highly skilled and experienced Executive Assistant to provide strategic, top-level & comprehensive administration support to The Business Manager and The General Counsel of the Catholic Diocese of Sandhurst (CDOS). Major Accountabilities
Provide high level administrative support to the Business Manager and General Counsel including preparation of correspondence, reports, agreements, minutes and agendas. Undertake required analysis, interpretation, evaluation and reasoning. Exercise appropriate judgement to identify and resolve alternative courses of action. Adhere to rules; precedent and policy guides. Maintain efficient and effective diary management in consultation with the Business Manager and General Counsel for appointments, functions, pastoral attendances, conferences and travel. Triage email, correspondence and phone enquiries. Collaborate with other executive support staff to complete necessary correspondence and administrative tasks within a timely and effective manner. Maintain an accurate record-keeping system in both digital and paper format. Maintain a high level of confidentiality in all dealings. Proactively support the Bishop, Director of Mission and Pastoral Life, and other diocesan leaders in relation to administrative, financial, and related matters as required. Perform Induction procedure to the new Chancery employees as directed.
Key Skills and Qualifications:
Strong experience in provision of strategic and top-level support to Multiple Management Roles, as specified. Ability to handle highly sensitive and confidential financial, legal, personnel and institutional information whilst exercising professionalism and discretion. The person best suited to this role would need to be supportive of the mission and values of The Catholic Diocese of Sandhurst. Demonstrated initiative and the ability to take ownership of all business aspects, driving them to successful outcomes within specified timelines, is key to success. The ability to work effectively and build rapport with all stakeholders within the Diocese is critical. Advanced MS Office Software Skills. Experience with GRC Salt Learning & Leap Legal Software is desirable. Willingness to be on call after hours in the rare event the need arose.
