DSV Air & Sea is seeking to hire a skilled and passionate Executive Assistant in Melbourne.
The position is responsible for all administrative duties that support the Managing Director and the senior management team such as handling correspondence, maintaining files, gathering, collating and presenting data, communicating to the wider organisation, updating databases, making appointments and serving as a liaison between the Managing Director and internal and external stakeholders.
Your typical day at DSV:
Carry out research, prepare reports and draft correspondence as directed by the Managing Director. Maintain an up to date filing system as well as general administrative tasks. Arrange functions as directed by the Managing Director, e.g. conferences, board meetings, overseas visitors, presentations, etc. Assume responsibility for the smooth organisation of regular management meetings, including venue and catering arrangements, preparation and distribution of agendas, and minute-taking and distribution. Be proactive in bringing to the Managing Director's notice relevant issues and documentation requiring attention, approaching deadlines, etc. Responsible for coordinating the Managing Director's diary. Provide routine secretarial services for the Managing Director, scheduling appointments; screening telephone calls; arranging travel and personal itinerary; arranging photocopying. Responsible for updating company information in various databases both internal and external to the organisation, e.g. intranet, extranet, EDI. Responsible for national initiatives such as securing national suppliers. Global marketing contact for DSV AU – to action requests and communicate in a timely manner. Responsible for preparing marketing material in accordance with DSV guidelines. About you:
At least 5 years of experience in a senior freight forwarding role with experience in a sales support, customer service role. Experience in a similar role with experience in creation of PowerPoint presentations, strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook and Enterprise. Experience scheduling travel arrangements for management is highly desirable. Why DSV?
