We are seeking a highly skilled and proactive Executive Support Officer to provide high-level administrative, secretarial, and project support to ensure the seamless operation within a SA government department.
This is a key role requiring exceptional organisational skills, confidentiality, and the ability to liaise with diverse stakeholders effectively.
About the Role The Executive Support Officer facilitates efficient office operations through diary management, stakeholder liaison, and comprehensive administrative support across complaints resolution, finance, and HR functions.
Key Responsibilities Manage the Commissioner's diary, emails, and correspondence, ensuring appropriate actions are taken.
Coordinate meetings and events, including minute-taking, agenda preparation, and follow-ups.
Provide financial and HR administrative support, including budget processes, procurement, and recruitment.
Maintain accurate records, contact lists, and compliance with state records regulations.
Support complaints resolution through database management, proofreading, and file reviews.
Develop and implement office systems, ensuring adherence to policies and standards.
Coordinate travel, accommodation, and logistical arrangements for staff.
Assist with IT, building maintenance, and WHS compliance.
Collaborate on the production of the Annual Report and other publications.
About You Proven experience as an Executive Assistant / Office Manager.
Exceptional organisational and time management skills, with a strong attention to detail.
Demonstrated ability to work autonomously, exercise initiative, and prioritise tasks.
High proficiency in Microsoft Office Suite and other office management software.
Strong communication skills, both written and verbal, with experience in preparing correspondence, reports, and presentations.
Ability to handle sensitive information with discretion and confidentiality.
Experience in financial and HR administration, including accounts management and recruitment processes.
Knowledge of administrative practices, including records management and compliance with policies.
