About the Role As the Executive Assistant, you will play a critical role in ensuring seamless executive operations. You'll manage schedules, coordinate travel, handle confidential correspondence, and support key projects—all while contributing to a culture of excellence and innovation.
Key Responsibilities Manage and maintain the Director/CEO's calendar, including scheduling meetings and prioritising events.Organise and facilitate meetings, including preparing agendas, taking minutes, and tracking follow-up actions.Arrange domestic and international travel, creating detailed itineraries and managing expense reporting.Prepare, review, and edit correspondence, presentations, and reports with professionalism and precision.Assist with high-priority projects, conduct research, and compile reports.Maintain efficient filing systems and support day-to-day administrative operations.Represent the Director/CEO professionally, acting as the primary point of contact for stakeholders.About You Skills and Experience Minimum of 3-5 years as an Executive Assistant, preferably in property development, building and construction, or a fast-paced industry.Exceptional organisational skills and a keen eye for detail.Proficient in Microsoft Office Suite and other relevant software tools.Familiarity with project management tools (e.g., Asana, Trello, Monday.com) is a plus.Outstanding verbal and written communication skills.Ability to manage multiple priorities effectively while meeting deadlines.XERO Accounting Software experience.Key Attributes Proactive: Anticipates needs and takes initiative to address them.Time Management: Thrives in dynamic, fast-paced environments.Problem Solving: Brings critical thinking and resourcefulness to resolve challenges.Professionalism: Maintains confidentiality and represents the Director/CEO with polished discretion.Why Join?
