We have a current opportunity for an Executive Assistant (EA) to join us at our Rosebery operations to support the General Manager (GM).
As the EA to the GM, you will play a pivotal role in supporting the GM and at times, the broader Rosebery Leadership Team ensuring the smooth operation of daily activities.
This position requires a proactive, organised, and detail-oriented professional who can handle a wide range of administrative and executive support tasks in a confidential manner.
The role encompasses general administration, scheduling, reporting, travel arrangements, corporate functions, minute taking, and coordination of site communications and initiatives to support the GM and the leadership team at Rosebery.
This role is based on a 5/2:4/3 roster, residential to Rosebery or DIDO from any location in Tasmania or based at our Burnie office.
Some responsibilities of the role will include: Manage the GM's calendar, scheduling appointments and meetings effectively.Coordinate travel arrangements and prepare detailed itineraries.Prepare and organise documents, reports, and presentations for internal and external meetings.Act as the point of contact between the General Manager and internal/external stakeholders.Conduct research and compile information as needed.Assist in preparing budgets and monitoring expenses.Handle confidential information with integrity and discretion.Reconcile monthly expenses including credit card reconciliation.Plan and coordinate meetings, conferences and various events on site and off site.Support corporate visitors by liaising and providing information for the visits.Work with other EA's based in Melbourne to meet corporate deliverables.Qualifications, Skills and Competencies: Excellent interpersonal and management skills with the ability to influence and motivate teams of professionals to achieve operational and business targets.High level of conceptual and analytical skills, with the ability to identify and implement strategies and improvements.A high level of competency in Microsoft Office Suite and exceptional administrative skills (Word, Excel, PowerPoint, Outlook and Teams).Working knowledge of SAP or similar enterprise systems.Demonstrated initiative in completing tasks to tight deadlines and the flexibility to handle changing priorities.Attention to detail, flexibility/adaptability and ability to work with people from all levels of the organisation.Ability to prioritize tasks and work independently.What we offer: An attractive remuneration including an incentive scheme, accommodation if residing in Rosebery and allowances.Flexible working arrangements including working from our Burnie office (if applicable).A workplace that fosters diversity and inclusiveness, and supports our people with the systems, skills and behaviours required to live our values.Relocation support where required to the point of hire.We are an equal opportunity employer who values and respects diversity.
