Safe Work Australia (SWA) is the national policy body for WHS and workers' compensation, representing the interests of the Commonwealth, states, territories, workers, and employers. The Entity is seeking suitable candidates for the Executive Assistant position. Candidates must be Australian citizens, pass a national police check, and ideally hold a current baseline security clearance. Experience in a similar role and proficiency in Microsoft Office, Windows 10, and HPE Content Manager (TRIM) are advantageous.
Responsibilities
Provide high-level executive, administrative, and coordination support, including managing and organising meetings and briefings.Work collaboratively with other Executive Assistants and Agency staff.Build and sustain strong professional relationships with internal and external stakeholders.Demonstrate discretion, time management, attention to detail, and excellent communication skills.Manage secretariat functions across the Agency, including coordinating meeting dates, agendas, attendance lists, and tasking talking points and/or papers.Exercise sound judgement and common sense, and use initiative when required.Train, mentor, and assist employees on administrative duties within the work area.Manage the Executives' office, email inbox, and work schedule, prioritising the Executive's time and highlighting matters of priority.Act as the first point of contact for the Executive Office, providing high-level client services to internal and external stakeholders through phone calls, emails, and general correspondence.Coordinate meetings with internal and external stakeholders, ensuring the Executive has all required information and material for meetings, including printing and preparing briefing packs.Provide general administrative support for staff, including ordering stationery, booking travel, and arranging training.Coordinate and manage travel and accommodation for the Executive and staff, including organising and booking Executive travel and reconciling credit cards for approval by the relevant delegate.
