The Role
Due to ongoing expansion, a new role has been created as Executive Assistant to support the Senior Leadership Team & ensure the efficient & effective operation of the Head Office, while supporting the business overall goals & objectives. This is a full-time, permanent role which will be based in the Head Office in Mulgrave five days a week.
Key Responsibilities: Diary Management - manage and organization of the director's diary, daily, weekly, monthly and annual basis.Email Management – review and organize the action lists, filing and follow-ups.Booking Meetings.Ensure meetings begin on time with material prepared and provided in advance.Make travel arrangements for senior team, including itineraries when asked.Electronic & Paper Filing and establish and maintain electronic filing system.Database Entry.Client & staff liaison - Be the first point of contact for clients, contractors and Franchisees.Expense Reconciliation.Accounts Payable.Manage Franchisee enquiry, follow up potential franchisees and senior leaders.Ensure office is tidy.Ad Hoc duties as required.Help to resolve basic IT issues.Skills Required: Two years experience in an administrative role reporting directly to upper management.Excellent written and verbal communication skills.Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.Proficiency with office productivity tools and an aptitude for learning new software and systems.Flexible team player, willing to adapt to changes, and unafraid of challenges.Ability to maintain confidentiality of information related to the company and its employees.Bilingual in English & Mandarin (verbal & written) is preferred.MUST HAVE full Australian work rights.Please follow the prompts to apply.
