Primary objective: Provide high level executive coordination, business administration and secretarial support to the Deputy Chief Executive Digital Services; proactively contribute to a diverse range of activities to support the executive team to achieve departmental goals.
Context Statement: The Department of Corporate and Digital Development provides information and technology services and shared corporate services to support NT Government agencies; and provides services to NT public sector organisations, the business community, and businesses that tender and supply to government. The Executive Services team is within the Office of the Chief Executive business unit, providing secretariat and executive support, management of ministerial and cabinet processes, coordinates strategic reporting and intra-agency meetings, and manages Agency business operations. The team has a strong customer service focus, manages competing deadlines, and staff may be required to vary work hours.
Key duties and responsibilities: Provide efficient management of the Deputy Chief Executive Digital Services day-to-day movements, including complex diary management, scheduling meetings, coordinating, and distributing papers, and handling telephone enquiries and visitors. Timely coordination, preparation, and quality control of a variety of correspondence (often of a confidential and sensitive nature), using the records management system. Provide back-up support for Executive Assistant positions and across the Executive Services team. Provide procurement and credit card support to the unit including monitoring and systems support for purchasing, accounts, assets, travel, and records management. Assist in identifying and implementing efficiencies to Executive Services systems, procedures, and processes. Actively contribute and participate as a team member of the broader Office of the Chief Executive business unit, collaborating/managing projects, events, research, and other tasks as allocated. Awareness of ministerial briefings, Cabinet correspondence and parliamentary processes. Selection criteria: Essential: Proven knowledge and experience in providing a high standard of secretarial support services ensuring competing demands are effectively managed and prioritised. Highly developed interpersonal skills, including an ability to communicate professionally and work collaboratively with a diverse range of people such as the Minister's office, internal and external clients, and service providers. Demonstrated responsiveness and agility in dealing with multiple deadlines, with capacity to prioritise and manage competing workloads under pressure and meet critical deadlines independently. High level literacy and proofreading skills, accuracy, and attention to detail, with high standards of integrity in managing sensitive and confidential information. Proven experience and competency in a range of systems, applications and complex document management including, but not limited to, Microsoft office suite, electronic records system, travel systems, email, databases, and contemporary IT meeting tools. Demonstrated work ethic and attitude which emulates DCDD values of being professional, accountable, honest, respectful, and innovative. Desirable: Knowledge of the agency's functions and policies and/or an understanding of Ministerial, Cabinet, and legislative processes. Ability to work extended hours if and when required.
