What is the role's primary purpose? The Executive Assistant & Corporate Events Manager is responsible for providing high-level support to the CEO and Executive team, overseeing the successful planning and execution of corporate events, and managing key administrative and financial functions. The role is integral in ensuring the smooth operation of NNSWF's activities, maintaining a professional office environment, and delivering high-quality events that support the organisation's strategic objectives.

What will you be doing as Executive Assistant & Corporate Events Manager? This multifaceted role combines high-level executive support, event management, and financial administration to ensure NNSWF operates seamlessly and delivers exceptional experiences for stakeholders. Here's what you'll be responsible for:

Executive Support Superhero Be the go-to support for the CEO, managing their diary, coordinating travel, and handling correspondence to keep their schedule running like clockwork.Prepare impactful reports, presentations, and documents for Board meetings, including the Annual General Meeting, Peak Steering Committee Meetings, and Standing Committee Meetings.Serve as the primary point of contact between the CEO and key stakeholders, ensuring timely follow-ups and clear communication.Organise and coordinate Board of Directors meetings, handling everything from agenda preparation to minute-taking and travel arrangements for directors. Corporate Events Trailblazer Take charge of planning, coordinating, executing, and evaluating high-profile events that showcase NNSWF, including: Van Egmond Jennings Awards Night, Grand Final VIP Events, Sponsorship Events, Premier Competition Season Launches, Annual General Meeting, Coaching Conferences and Seminars, Women's Leadership Program and Female Football Week functions.Manage NNSWF's VIP list to ensure stakeholders, partners, and sponsors feel valued and engaged.Own the brand representation at events, ensuring NNSWF and sponsor requirements are met with flair and precision.Collaborate with internal and external venue staff to deliver events that reflect NNSWF's reputation as a leading football organisation.Develop and stick to event budgets while ensuring all events are delivered on time and within scope.Work with communications and marketing teams to maximise attendance and engagement through strategic promotion.Continuously improve by gathering event feedback and implementing lessons learned. Finance and Administration Guru Support the finance team by processing invoices, managing accounts payable and receivable, and assisting with budget tracking and reconciliation.Ensure smooth administration of corporate credit card reconciliations and coordinate with finance for accurate, timely processing.Lead debt collection processes, liaising with stakeholders to ensure timely resolution of outstanding payments.Uphold compliance with NNSWF policies and procedures across all administrative and financial activities.Manage event-related expenses to ensure cost-effectiveness and alignment with budget allocations.Assist with financial reporting and expenditure tracking for projects and events, ensuring everything stays on target.
