All staff are required to come into the office 3 days per week with Tues and Wed being mandatory.

The primary focus of this roleThe primary focus of this role is to provide Executive Support to the COO Office and its associated Business Units, Investment Data Management, Investment Operations and Technology – collectively known as Data Operations & Technology ("DOT"). This role partners with the EA COO to deliver efficient, effective executive support ensuring a seamless and cohesive function across the entire group.
Once familiar with DOT's structure, the Executive Assistant can proactively anticipate the group's needs and address operational and administrative challenges before they arise. Highly organised and analytical, you bring strong business judgment and communication skills to effectively manage tasks and engage with staff at all levels. By understanding the organisation's goals and priorities, as well as those of key stakeholders, you can streamline and enhance the administrative function. Your role will directly support the team in achieving organisational objectives, ensuring priorities are met and administrative processes are optimised.
Key duties of the position include:Executive support – diary management, travel coordination and action item follow up.General administration – processing credit card transactions, preparing agendas and material for meetings, tracking action items, coordination of team events.Information management – publishing content on Agency intranet, coordinate/compile documents for meetings, stakeholder communications, formatting documentation.QualificationsAre you a highly organised self-starter with great communication and collaboration skills? Have you been responsible for coordinating complex travel & diaries? Do you have the ability to prioritise tasks to ensure completion on deadlines? Will you seek opportunities for continuous learning and process improvement?
Formal studies in Business Administration or related area preferred but not essential.Strong written and verbal communication skills.Advanced knowledge of Microsoft Office suite.Knowledge of SharePoint, OneDrive, Lists, Planner, Loop and Atlassian apps (Jira & Confluence) advantageous.Applicants for this role should hold Australian citizenship.
