Who we are In partnership with internal and external stakeholders, Compliance & Enforcement Division monitors and assesses risk to enhance compliance through effective regulatory intervention, ranging from education to enforcement which will ultimately safeguard our economy, trade, environment and agriculture.
The Operational Intelligence and Coordination Branch is responsible for assessment, intelligence, operational coordination and responding to non-compliance for CED. We also support the First Assistant Secretary (FAS) to understand the operational workload across the division. We are the central point for fit and proper person assessments and create the required reports for decision makers across the department. We provide profiling and targeting capability to determine vulnerabilities in supply chains, and we develop operational and tactical intelligence insights to support decision making.
The Job As an APS 5 Executive Assistant - Business Support Officer, you will work collaboratively with the Assistant Secretary (AS) of Operational Intelligence and Coordination Branch who has national responsibilities as well as regional lead responsibilities in South Australia. You will work with the AS to ensure work priorities are achieved in a timely manner by undertaking a wide range of administrative duties. Your duties may include, but are not limited to:
Performing 'front of office' support functions for OICB, including greeting visitors, receiving and responding to phone calls, emails and general correspondence.Providing a secretariat service to regional bodies and working groups convened by the AS as the regional lead.Diary management and coordination including scheduling appointments and organising travel for the AS.Managing correspondence, including monitoring emails, preparing responses to routine and less complex enquiries; coordinating and tracking ministerial workflow; collating and follow up of information to ensure deadlines are met.Providing high quality administrative assistance in collating papers and folders for meetings attended by the AS.Arranging meetings and organising logistical arrangements (room bookings, refreshments and escorting external stakeholders).Liaising with various stakeholders of all levels including the Minister's Office and providing assistance with general enquiries.Coordinating and reconciling finances for the AS.Assisting the Divisional executive group as required (monitoring telephones to ensure core business hours are covered).Working closely with the branch Executive Officer to develop streamlined administrative and governance processes.Providing other general administrative support functions as required.Please note that the merit pool established through this selection process, which is valid for a period of eighteen months from the date the vacancy was advertised in the Public Service Gazette, may also be used to fill future ongoing vacancies in the branch where the duties are of a similar nature.
What are we looking for Knowledge and experience: Experience in managing a Senior Executive office in the public or private sector; and providing high level administrative support for a small team.
