In this role, you will provide strategic administrative support for our Managing Director to ensure effective communications, smooth operations and successful objectives. As the Executive Assistant you will… Provide strategic administrative support for our Managing Director to ensure smooth operations, communication and practices Manage the Director's calendar including scheduling meetings, team sessions and travel Coordinate travel by organizing flights and hotels, submitting expenses and planning meetings Support the development of communication materials and strategies by developing internal and external communications, presentations and emails, and answering and responding to inquiries Assist with senior leadership meetings by preparing slide decks, updating scorecards and coordinating sessions and logistics Provide event planning support for conferences, webinars and activities by preparing agendas and coordinating logistics (catering, venue booking etc., as needed) Collaborate with finance to submit expense reports, reconcile budgets, track invoices and allocate funds to ensure business objectives are supported Liaise with teams to understand administrative needs and support special projects to automate processes by conducting research, preparing materials, coordinating brainstorming activities and maintaining confidentiality Work with HR and management to support onboarding of new hires by ordering equipment, coordinating access and workstations and scheduling orientation etc., Assist with maintaining an efficient office space by ordering equipment and supplies, granting access for team members and being the first-point-of-contact for office inquiries You'll be set up for success if you have… Post-secondary education, such as a Diploma in Office or Business Administration, in a related field 3+ years' experience working as an Administrative Assistant supporting Director + level roles within fast-paced environments (we would also welcome an equivalent combination of education, training, and experience) Prior experience using MS Office and Google Suite platforms to support calendar management and creation of slideshows and spreadsheets You're the perfect fit because… You're an organized professional with strong attention to detail who enjoys making checklists, setting goals and getting things done quickly You're a proactive individual who can anticipate needs a mile away and always goes above and beyond to ensure your clients are supported You're a vibrant communicator who can develop engaging communication tools and resources to connect with all levels of an organization and influence others You're a natural prioritizer who can manage multiple projects at once and meet critical deadlines in fast-paced environments successfully You're a professional business partner who can remain diplomatic through challenging situations and maintain confidentiality to ensure information is safeguarded With us, you will find a place where you belong and love where you work with a whole crop of benefits like the following:
