Executive Assistant and Bookkeeper for an Event Services Industry in Australia (Home Based Full Time)Job DescriptionWe are seeking a proactive and accountable Executive Assistant to support two directors. The ideal candidate will be experienced in managing multiple tasks and maintaining clear and effective communication. This is a full-time role with the following responsibilities:Administrative Support: manage schedules, appointments, and meetings. Arrange travel plans, accommodation, and itineraries. Organize and prioritize emails for quick replies. Assist with document preparation, editing, and organization.Reporting directly to two directorsPrimarily using WhatsApp and other apps for calls and communicationsFollowing up on tasks and updates through phone calls rather than relying solely on emailsAttending and participating in sales meetings (approximately 5-6 meetings per week)Communication Management: act as liaison between team, clients, and external partners. Maintain communication via email, chat, and virtual meetings. Organize and track messages for timely responses.Task Coordination: oversee tasks to meet deadlines. Collaborate with the team to monitor project milestones and deliverables. Assist in project coordination by maintaining organized documents and files.Research and Data Management: conduct online research for detailed information and market insights. Compile and organize data to support decision-making.Bookkeeping and Payroll:Maintain accurate bookkeeping records in XeroProcess fortnightly payrollManage accounts payable and receivableReconcile bank statementsSkill SetThis role is open to Filipino citizens residing in the Philippines only.• Bachelor's degree in business administration, communication, or a related field• Experience with HubSpot• Proficiency in Excel• Strong written communication skills• Proficiency in Xero• Experience in bookkeeping and payroll processing• Willingness to work 50 hours per week, with flexibility to work over 60 hours during fortnightly payroll periods• Technical Proficiency: proficient with platforms like Google Workspace, Microsoft Office, and project management tools. Able to quickly adapt to new technology and tools.
