About the Role Located near the Adelaide city fringe, we are seeking ahighly organised and proactive individual to join our team as an ExecutiveAssistant. The successful candidate will be responsible for providingcomprehensive administrative support to our executive team, ensuring the smoothfunctioning of their daily operations. This role requires exceptionalcommunication skills, attention to detail, and the ability to handle a diverserange of tasks efficiently and confidently. The Executive Assistant will be anintegral part of our organisation, primarily supporting the executives and theBoard of Directors in achieving their strategic objectives.
About the Responsibilities Calendar Management: Manage and coordinate the keyexecutives' calendars, scheduling appointments, meetings, and conferences asappropriate. Be proactive to identify scheduling conflicts and proactivelyresolve them to ensure optimal time management.
Travel Planning: Arrange and coordinate domestic andinternational travel itineraries, including flights, accommodations, groundtransportation, and any visa arrangements. Ensure executives are well-preparedfor their travels by providing brief kits as required.
Meeting Support: Prepare meeting agendas, take detailedminutes, and distribute meeting materials. Assist with the preparation ofpresentation materials, reports, and other documents as required. Follow up onaction items and timelines for executive-level key projects.
Correspondence and Communication: Manage and prioritiseincoming emails, phone calls, and other forms of correspondence. Draftresponses, compose memos, and create reports as needed. Filter requests andinquiries, ensuring the executives are immediately informed of urgent matters.Ensure that corporate reporting calendar is maintained for Diverseco &associated companies.
Information Management: Maintain and organiseconfidential files, documents, and databases. Develop and implement efficientfiling systems to facilitate easy retrieval of information. Conduct researchand compile data for reports and presentations.
Relationship Management: Act as a liaison between theexecutives and internal/external stakeholders. Build and maintain relationshipswith key contacts, clients, and partners. Coordinate and schedule meetings,events, and conferences with various members of the Strategic Business Units(SBU's).
Executive Support: Provide comprehensive administrativesupport to the executives, including managing expense reports, processinginvoices, and overseeing office supply inventory. Proactively identifyopportunities to streamline administrative processes and improve efficiency inthe business.
What you can bring to the role Qualifications in Business Administration or a related field preferred.Proven experience as an Executive Assistant or similar role, preferably in a regulated workplace or industry supporting a CEO.Exceptional organisational and time management skills.Strong communication skills, both written and verbal.Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).Ability to handle sensitive information with confidentiality and discretion.Strong problem solving and decision making abilities.Detail oriented with an ability to plan, execute and control concurrent prioritiesAbility to work independently and prioritise tasks effectively.Previous experience supporting C-level executives is highly desirable.We offer a competitive salary and benefits package, as well as a dynamic, inclusive and collaborative work environment.
