About the Role SHX Realestate Pty Ltd is seeking a skilled and experienced Executive Administrative Assistant to provide dedicated support to the President. This full-time role, based in our Glen Waverley, VIC office, will play a crucial role in ensuring the smooth operation of our executive office. The ideal candidate will be highly organised, proactive, and capable of managing a variety of tasks, including property and farm management. Proficiency in Mandarin or Cantonese is essential for this role.
Key Responsibilities High-Level Administrative Support: Provide comprehensive administrative support to the President, including diary management, travel arrangements, meeting coordination, and prioritisation of tasks to ensure maximum productivity.Correspondence and Documentation: Prepare, proofread, and manage correspondence, reports, and other business documents on behalf of the President.Property Management: Oversee the management of both company and private properties, including coordinating maintenance services, liaising with contractors, handling lease and contract matters, and ensuring timely payment of all related fees.Farm Management: Supervise and manage the daily operations of the President's farm, including developing and executing maintenance plans, coordinating with farm workers, and ensuring the farm operates efficiently.Special Projects and Ad-Hoc Tasks: Assist with special projects and other tasks as directed by the President, ensuring all assignments are completed on time and to a high standard.Stakeholder Liaison: Act as the main point of contact between the President and internal teams or external stakeholders, ensuring effective communication and handling of sensitive information with the utmost discretion.Confidentiality: Handle sensitive and confidential information with the highest level of professionalism and discretion.What We're Looking For Experience: At least 5+ years of experience providing executive-level administrative support, preferably within a fast-paced, professional environment.Communication Skills: Excellent written and verbal communication skills, with the ability to interact effectively with individuals at all levels. Proficiency in Mandarin or Cantonese is required.Decision-Making: Demonstrated ability to make decisive decisions, particularly in urgent situations, and to execute tasks efficiently.Autonomy and Multi-tasking: Ability to work autonomously, manage multiple tasks, and prioritise workload to meet deadlines.Attention to Detail: Strong attention to detail and exceptional organisational skills.Technical Proficiency: Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Language Proficiency: Excellent English skills for both written and verbal communication, along with fluency in Mandarin or Cantonese.Education: A bachelor's degree or higher is required; a postgraduate degree in management or a related field is preferred.Relevant Experience: Previous experience in property and farm management will be highly regarded.What We Offer At SHX Realestate Pty Ltd, we are committed to providing our employees with a supportive and rewarding work environment.
