OVERVIEW OF THE AAA
The Australian Airports Association ('AAA') is the national voice that represents the interests of more than 340 airports and aerodromes Australia wide – from the local country community landing strip to major international gateway airports.
Our Airport members represent vital infrastructure crucial to the communities in which they operate and for the overall national economy.
The AAA facilitates co-operation among airport members and their many and varied partners in Australian aviation, whilst contributing to an air transport system that is safe, secure, competitive and environmentally sustainable for the benefit of all Australians and visitors.
The AAA is the leading advocate for appropriate national policy relating to airport activities, to ensure regular transport passengers, freight, and the community enjoy the full benefits of a progressive and sustainable airport industry.
With the support of airports and the industry's leading organisations the AAA will continue working to secure the future of our airports.
The AAA also has more than 150 corporate members representing aviation stakeholders and organisations that provide goods and services to the airport sector.
OVERVIEW OF THE ROLE
The Events Officer position is a hands-on role supporting delivery of a range of significant AAA events across the year.
This role sits within the "Engaged Members" pillar of the AAA's Strategic Plan 2025-27.
The role reports directly to the Senior Manager – Major Events & Partnerships and is responsible for delivery of end-to-end delegate services for AAA major events, as well as managing AAA Division Meetings and the webinar program.
Supported by the Senior Manager – Major Events & Partnerships, the role will work in a collaborative manner with the Policy and Advocacy, Member Engagement and Corporate Services teams to ensure events are delivered to a high standard and aligned with the AAA's strategic objectives.
The AAA currently delivers the following (not exhaustive) list of events:
National Conference and Industry Expo
Over 4 days, with 700+ delegates, 50+ exhibition booths and a range of networking functions, including the National Airport Industry Awards.
Airport Retail and Commercial Forum

Over 3 days, with 250+ delegates, 20+ exhibition booths, a range of networking functions, a gala dinner and awards ceremony and a technical masterclass.
Conducted under a joint venture arrangement.
Airport Operations Forum (OPSWAP)

Technical forum over 2 days with 200+ delegates and 10+ exhibition booths and a range of networking functions.
Held biennially offsetting the Pavements and Lighting Forum.
Pavements and Lighting Forum

Technical forums over 3 days with 180+ delegates and 10+ exhibition booths and a range of networking functions.
Held biennially offsetting the the OPSWAP Forum.
Airport Emergency Management and Safety Forum
A technical forum over 1-2 days with 70+ delegates focused on airport safety and often including attendance / observation of a live airport emergency exercise.
Division Meetings

Member forums held in each state/ territory twice a year (14 in total) hosted by the AAA / local airports.
Up to 60 delegates per meeting, including networking functions and industry updates.
Webinar Program
Member webinars held throughout the year for industry updates and professional development.
KEY RESPONSIBILITIES
The role requires an experienced and enthusiastic individual to support the delivery of AAA Major events and take responsibility for management of Delegate Services, Division Meetings and the Webinar Programs to support member engagement.
Active management of delegate services for all major events, division meetings and webinars to ensure positive engagement with AAA, and successful interactions for all AAA members and non-members for events.
Actively manage and deliver all aspects of Division Meeting logistics, with support from the Member Engagement team – including such things as venue and supplier sourcing and management, budget preparation and financial oversight, running orders, event briefs, event reporting.
Actively manage and deliver all aspects of Webinars logistics, with support from the Policy and Advocacy team – including supporting development of a webinar program, managing webinar delivery, running orders, webinar briefs, webinar reporting.
Providing support to the Senior Manager – Major Events & Partnerships and Director - Member Engagement as required.
SKILLS AND KNOWLEDGE REQUIREMENTS

Formal qualification in events or equivalent work experience required with a minimum 4 years' experience in an events planning role within an Association or similar field.
Strong attention to detail and excellent organisational skills, including balancing and managing competing priorities.
Effective verbal and written communication skills with the ability to effectively communicate with members, stakeholders, and team members.
Demonstrated ability in personally delivering high quality events with varying levels of complexity.
A positive and collaborative attitude, with an appreciation of the importance to deliver to shared organisational goals.
Familiarity with event management software; experience using EventsAIR is highly desirable.
Strong skills in Microsoft Office applications such as Word, Excel, and PowerPoint required; experience using a CRM desirable.
