Events Manager – Business SydneyAbout us Business NSW is an Australian independent, not-for-profit membership organisation that identifies the key issues impacting business and finds practical policy solutions to ensure businesses across New South Wales prosper and grow.
The organisation has been operating since 1826. Business Sydney forms part of Business NSW.
Based in our Chifley Square Office in Sydney CBD and reporting into the Executive Director – Business Sydney, the Events Manager is responsible for the coordination and implementation of events for Business Sydney.
Annually Business Sydney hosts between 65 and 80 events ranging from 25pax to 400pax.
Formats for events include breakfasts, lunches, evening cocktail receptions and other corporate events.
Main responsibilities include:Manages the process for professional hosting of Business Sydney's events, including all correspondence with speakers, hosts, invitations, VIPs including MPs offices, guest confirmations.Continually review and monitor the events program and make recommendations for improvement to ensure events are contemporary and responding to the interests and needs of the membership and business.Draft communications where required including speaker invitations and event host requests.Prepares correspondence and prepares briefing packs, reports and papers and follows up with all parties in line with deadlines.Manages negotiations with venues and suppliers.Coordinates room bookings and equipment set up such as teleconferencing, data projector and refreshments.
Includes liaison with third party room, invoicing and coordination of their meeting requirements, including AV.Develop and prepare event budgets when required to ensure the events meet the financial objectives of Business Sydney in accordance with the annual financial budget for the unit.Process the purchase requisitions, purchase orders and invoices for payment relating to the events as well as to review and reconcile the financial results for events.Manages the process for the artwork and design of invitations.
Set up events in event management application (Humanitix), and constantly monitor registrations.Coordinate with other team members to support the Business Sydney for major events including possible summits and/or other major conferences through the year.Hosting members at events representing Business Sydney when required.Reviews available external grants as required.Manages the event photos, preparing photo highlight collages for the Business Sydney website.Other duties as requested by the Executive Director of Business Sydney.RequirementsThe main requirement for this role is a proven track record in Events Management in a similar organisation.

Effective stakeholder engagement, advocacy and relationship building to create mutual benefit.Well-developed contract and commercial agreement negotiation and management skills as well as Financial management experience including budget preparation and control.Excellent written and oral communication skills.Strong attention to detail and ability to see tasks through to conclusion.Understanding of the State and national political environment would be advantageous.Demonstrated ability to undertake, prioritise and organise multiple tasks concurrently and meet deadlines.Ability to work in a small team environment and be able to develop effective relationships internally and externally.Familiarity with monitoring and management of event booking software and IT literate with capability in word processing, databases and spreadsheet skills.Analytical skills, critical analysis, lateral thinking and strong problem-solving skills.Benefits and perksAs a valued employee of Business NSW, you will have access to a wealth of company benefits including fitness passport, EAP access, health discounts, and salary packaging options.
